  Refund Policy  
  A $350 portion of any deposit or entry fee submitted is non-refundable upon receipt. All monies received are non-refundable if cancellation occurs within 30 days of the tournament start date. Full refunds will be made to teams involved in divisions that have not filled. Teams affected will be contacted a minimum of 21 days prior to the tournament start date and refunds will be issued immediately.  
     
  General Tournament Information
 
 
  Team Roster Requirements
All teams are required to present a copy of their official roster that is issued by their respective sanctioning body, either USA Hockey or Hockey Canada, to our on-site director at the site of your first game. The on site director will retain the document so make sure it is a copy of the original document.

Tournament Start & Finish Times

Our tournaments that run from Friday to Sunday may start as early as 1pm on Friday for “Out Of Town” teams. “In Town” teams typically start a little later in the afternoon or evening on Friday with all championship games being completed no later than 6:30-7:00pm on Sunday.

For tournaments that are listed as running Friday to Monday (M.L. King & President’s Weekends) teams will participate either Friday through Sunday or Saturday through Monday. Determination of which teams will start on Friday and finish on Sunday or begin play on Saturday and finish on Monday will be determined by tournament organizers 14 days prior to the event and provided to team representatives. An actual game schedule will be provided 7 days prior to the start of the tournament.

“Out of Town” teams selected to commence tournament play on Friday may start as early as 1:00pm. “Out of Town” teams that start on Saturday may start as early as 7:00am. “Out of Town” teams are encouraged to initially reserve 3 nights’ accommodations and reduce the reservations to 2 nights if so desired upon release of the game schedule.

“In Town” teams should note that on these weekends that their tournament could start on Friday afternoon as early as 4:00pm and finish either Sunday or Monday.

Team contacts should also be aware of the fact that although we have some relatively early time slot(s) that occur on the first day of the tournament, and some time slots for championship games starting as late as 5:00-5:30pm, it doesn’t necessary mean your team will actually play at that time. Another note, in general when scheduling games on the second & third day of a tournament, the younger age groups typically start earlier and finish earlier. This pattern may vary slightly on the first day of a Friday through Sunday tournament with of course no later Friday night games for the mite through peewee divisions.

A final note to team contacts, please be candid with your parent group in regards to these scheduling guidelines and parameters that we have provided. Make sure they are prepared to play hockey within the time frame we have presented. Requests for late start and or finish times will be noted, reviewed and accommodated whenever possible when scheduling. However, there will be no guarantee that your request can be accommodated. Once the game schedule has been released, there will be no changes to the schedule based on the pleadings of team contacts that have suddenly discovered that their parent group has threatened a mutiny unless their schedule is changed. This approach used by some parents is unprofessional and selfish and can make the team contact’s thankless job even more difficult. Furthermore, schedule changes create much work and problems for participating teams and organizers.

Teams Traveling By Air
Team contacts should submit by fax or e mail a detailed itinerary, including departure time, arrival time, airline, flight number etc. at least 21 days in advance to the start of the tournament. Flight plans that don’t take into consideration the above listed scheduling parameters should be discussed and approved by Hockey Time management prior to purchase of tickets.

Divisions & Team Placement Procedures
Our tournaments typically draw teams from many areas of the Midwest and southern Ontario. In addition, we’ll occasionally host teams from as far away as northern Ontario, western Canada, Quebec and from all over the United States. Classification systems (aaa, aa, a, b, house select & house) may have slightly different meanings from area to area. Expect to encounter teams that may have different eligibility or classification rules that may not correspond to what you are accustomed to in your area. The age groups for USA Hockey and those of the Canadian Hockey Association are basically the same, however areas that have large numbers of registered players tend to further delineate within the 2 year window allowed for each age group. In these situations, teams composed of exclusively or primarily of players in their 1st year of eligibility of a particular age group, will play in their respective home areas against like teams. For example, in Michigan they’re referred to as “A” teams, in Ontario & Western New York they are referred to as “minor” teams. Many other nuances exist and it is not unusual for areas to revise or “fine tune” their eligibility rules from year to year as league administrators try to keep in step with changes within their respective areas.

When formulating divisions we attempt to provide the best possible “competitive fit” from a pool of teams that often times has geographically diverse origins and classification rules indigenous to their respective home areas. Our insight and experience allows us to know in
most cases what mix will provide an optimal competitive grouping. However, the input provided from team administrators by completing our questionnaire and roster forms and submitting in a timely fashion is invaluable. In addition, we strongly welcome & encourage discussion on your team’s competitive level prior to placement.

A game schedule is made available for registered teams to view from the “login” area of the website 7 days prior to the start of the tournament. 

Hotel Information, Policies and Procedures

Hockey Time Productions has secured blocks of rooms at various hotels for our “Out Of Town” guests and earns commission on these bookings. As a condition of acceptance, all “Out Of Town” teams (defined as having a home rink that is greater than 75 miles from the primary tournament arena) are obligated to stay at an authorized “Hockey Time” hotel at the listed “Hockey Time” rate. Furthermore, a minimum total of 18 room nights are required. Keep in mind that a “room night” is defined as “1 room for 1 night. In other works, 9 rooms booked for 2 nights would equate to 18 total room nights. Hotel reservations may be secured by submitting Hockey Time’s “ROOMING LIST” form to the Hockey Time office.
